The Admissions Coordinator serves as the first point of contact for prospective clients seeking substance abuse treatment, managing inbound calls, online inquiries, and referrals with professionalism and urgency. This role requires skill in qualifying leads, conducting pre-admission assessments, explaining treatment options and financial obligations, and ensuring accurate data entry into the CRM. A strong understanding of substance abuse treatment levels of care, insurance benefits, and available resources is essential. Acting as a liaison between clients and the clinical team, the Admissions Coordinator helps guide individuals and families through the admissions process with clarity and compassion, supporting both organizational goals and client needs.
Key Duties:
Fielding Calls/Leads: Answer and manage calls, verify online form submissions, and follow up on leads as scheduled by the department manager.
Prospect Management: Understand and execute the workflow required to effectively handle and qualify prospective clients.
Knowledge of Substance Abuse Treatment: Familiarity with various terms, levels of care, and treatment processes in the substance abuse field.
Data Entry and CRM Management: Accurately input, update, and manage client information in the CRM system. This includes creating and updating treatment opportunities, managing the call/form queue, adding communication logs, and handling referral sources.
Preadmission Assessments: Conduct preadmission assessments with prospective clients, determining the most appropriate level of treatment based on their needs.
Treatment Resources and Financial Knowledge: Demonstrate knowledge of available treatment resources across various levels of care, as well as an understanding of the financial options available for clients.
