Position Summary:
The Advancement Assistant works directly with the President of Phoenix Seminary and plays a key supporting role in fostering relationships with donors, advancing the mission of the organization. This position requires strong interpersonal skills, attention to detail, and the ability to proactively support donor engagement through communication, record-keeping, and event coordination.
Principal Responsibilities:
- Communicate regularly and warmly with donors through phone calls, emails, and written correspondence.
- Draft thank-you letters, holiday cards, and event invitations on behalf of the President.
- Maintain accurate and detailed donor records in Virtuous CRM, including personal updates and interaction history.
- Track and follow up on donor inquiries.
- Prepare briefing materials (donors, profiles, giving history, interests) for the President.
- Generate donor reports or lists for cultivation of stewardship purposes.
- Prepare and send mailers and donor communications.
- Assist with planning and executing donor-focused events.
- Collaborate with the Executive Assistant to support the President in donor engagement efforts.
- Keep leadership informed of significant donor life updates or important relationship milestones.
Qualifications:
- High personal and professional integrity consistent with the biblical standards and our Statement of Faith and governing values of the Seminary
- Theologically compatible with the Seminary’s Statement of Faith
- Strong computer skills
- High level of trustworthiness and integrity
- Exceptional attention to detail and accuracy
- Self-starter with initiative and a solutions-oriented mindset
- Strong interpersonal and written communication skills
- Ability to remember details about donor interactions and relationships
- Comfortable making phone calls and engaging in meaningful conversations
Education and Experience:
- Bachelor’s degree
- At least two years of experience in customer service or advancement role
Physical Requirements:
- Must be able to sit using a computer for long periods of time.
- Must be able to lift up to 25 pounds at times.
Work Schedule:
- Must be able to work varied hours.
- Part-Time: 10-15 hours/week

Evaluation
The position described above, like other staff, will be evaluated at the end of an Introductory
Period (90-day review), and then, if applicable, on an annual basis.
