Xiente’s Intensive Prevention Services Program (IPS) is designed to provide a comprehensive, intensive early intervention program for youth (ages 10-17) exhibiting at- risk behaviors. Through IPS, a hybrid model of home and site-based programming, Xiente assists at-risk youth in advancing socially and academically through comprehensive intensive programming with the goal of preventing the entry or re-entry of at-risk youth into the Child Welfare and Juvenile Justice Systems.
Requirements:
The Activities Coordinator is responsible for the logistic coordination of all IPS site-based programming activities. This includes liaising with external partners; building and maintaining community partnerships; coordinating with the IPS director and case management teams to plan internal activities; developing budget; managing invoices and expense sheets; and any other tasks required for the successful coordination of site-based programming. Plus, coordinate with the other youth programs within the Xiente Teen Center to engage youth to participate in family engagement activities and other Xiente programming.
Duties and Responsibilities:
- Build and maintain positive relationships with vendors and community partners to plan activities and program offerings for the Xiente Youth Take Action Teen Center
- Communicate professionally with external stakeholders about programmatic expectations and logistics, payment processes and vendor expectations.
- Communicate with Teen Center Program Directors to share programmatic opportunities and coordinate shared activities (family engagement activities, trips, etc.).
- Plan activities that are required and desirable for site-based programming according to DHS Program Standards.
- Coordinate with the IPS and CERC directors, Finance and Xiente leadership to develop budgets and projections, expend and manage activity expenses.
- Develop budgets and prepare requisitions for trips, activities, programming supplies, and events.
- Develop comprehensive, detailed schedule/master plans and logistics for all Teen Center activities and weekly updates in a timely, regular, and thorough manner.
- Create, implement, and use a digital organization and record-keeping system for all Teen Center activities, vendors and partners.
- Attend all scheduled trips, activities and events.
- Monitor activities to ensure that all activities are high quality, well-attended, and take place on time.
- Collaborate with the Xiente data team to collect and implement regular feedback from youth
- Develop; disseminate needs assessment surveys with youth to evaluate socioemotional, recreational, and academic needs to better inform activities and programming.
- When needed, assist with pickup and drop-off of youth enrolled in the program.
- Other duties as assigned.
Position Requirements/Qualifications:
- Three years of administrative, event and activity planning experience.
- Experience fostering partnerships that will result in planning fun, meaningful experiences and programming for youth aged 10-19 that helps prevent them from entering the juvenile justice system and improves their behavior.
- Excellent time management skills
- Experience developing budgets.
- Ability to work autonomously.
- Experience working with youth and diverse communities.
- Exceptional organizational skills and communication skills.
- Proficiency with Microsoft 365, including Microsoft Teams, Word, Excel, Outlook, and Sharepoint
- Experience in and comfort with digital organizational or task-tracking platforms.
- Demonstrated experience and skill in master scheduling.
- Bilingual in Spanish preferred.
- Able and willing to work occasional evening and weekend hours.
- Perform additional duties as assigned
Education:
- Associate's degree or at least 30 credits in early childhood development or education
