The American Trucking Associations (ATA) is seeking a talented and highly organized Industry Affairs Coordinator to join our industry Affairs team, reporting to the Director, Industry Affairs.
The Industry Affairs Coordinator provides logistical and administrative support to both the Industry Affairs Department and Women In Motion (WIM) Council.
The position provides support to the Industry Affairs programs, including but not limited to: America’s Road Team; Share the Road; Workforce Heroes, Intermodal Motor Carriers; LEAD ATA, Trucking U, Mike Russel Trucking Image Award, and NTDAW. The position provides support to WIM through membership maintenance and program assistance.
S/he interacts with ATA staff, members, and stakeholders.
Because of the nature of this position, the incumbent is expected to be in the office 3 days a week and adhere to company policy and procedures, promote and foster a team-based work environment. S/he will demonstrate flexible and efficient time management and can manage and prioritize the workload. S/he will have the ability to work in a fast-paced environment while maintaining a positive and professional disposition. S/he must consistently report to work on time prepared to perform duties of the position.
This position has no supervisory or budgetary responsibilities. Travel for two yearly ATA conferences (MYMS and MCE) is required.
Hybrid schedule of in office Monday and Tuesday, with a third day TBD by your manager.
CORE FUNCTIONS:
- Maintain and code department cc charges.
- Receive and submit expense reports for the department’s four truck programs.
- Assist with building itineraries for truck programs.
- Update chart with Captain activities and attendance numbers.
- Track sponsorship revenue received by accounting to ensure it matches department records.
- Coordinate, print and ship all meeting supplies needed for both Industry Affairs and WIM teams onsite.
- Track and ship truck giveaways and materials.
- Prepare and distribute materials for programs and events (i.e.: LEAD ATA binders, America’s Road Team selections binders, Trucking U binders, Mike Russell binders, etc.).
- Maintain the Industry Affairs inbox. Ensuring messages are responded to in a timely manner, and applications are saved in appropriate locations.
- Maintain the WIM inbox, answer member questions, work with the WIM director on registration assistance in Personify.
- Post pictures on truck programs social pages after events.
- Other projects/tasks as assigned.
BACKGROUND REQUIREMENTS:
Education/Experience- BS/BA in Hospitality, Communications, or related field or 1 to 3 years’ experience in event planning, logistics planning, marketing, or communications required.
Skills -
- Proficient in Personify or directory management websites.
- Proficiency in Microsoft Office Suite is required.
- Excellent oral and written communication skills are essential.
- Strong organizational, time and project management skills.
- Meticulous attention to detail, with the ability to work under short deadlines.
- Demonstrated flexible and efficient time management; can work in a fast-paced environment while maintaining a positive and professional disposition.
- Requires the ability to work independently and in a team environment on projects from inception to completion.
