Overview
The Charlotte Lab School Assistant Head of Student Services will lead our work in overseeing and managing various programs and services that support students academic success. The Assistant Head of Student Services will report to the Executive Director and will work very closely with other members of Labs Leadership and instructional support teams. Additionally, the Assistant Head of Student Services is a key member of the Board of Directors Performance and Impact Committee and supports Board data reporting.
Responsibilities
The Charlotte Lab School Assistant Head of Student Services will have responsibilities in support of Charlotte Lab Schools organizational vision to define whats possible in public education and in service to its mission to prepare all students for success and wellness in college and a global workplace. The Assistant Head of Student Services ensures that support for students with academic needs is provided effectively and in alignment with legal requirements, and the organizations mission.
The Charlotte Lab School Assistant Head of Student Services will have responsibilities in support of Labs instructional vision:
- Special Education
- Oversee the development, communication, and implementation of EC policies and procedures, in compliance with state and federal law;
- Create and maintain a master database of students with IEPs;
- Conduct routine audits to ensure compliance with timelines, services, and equitable caseloads;
- Develop and monitor EC and other staff schedules in accordance with IEPs;
- Develop and manage contracts with relevant vendors to provide EC and related services;
- Lead our team of special educators:
- Ensure that EC staff are appropriately certified and trained;
- Plan regular meetings and professional development, including guidance in the use of data to inform instruction;
- Support EC teachers in planning, IEP-writing and compliance, reporting, and instruction;
- Provide coaching and evaluation, leveraging growth plans as needed;
- Oversee the scheduling of IEP meetings and serve as or designate LEA (local education agency) representative;
- Act as the point of contact for with the Department of Public Instruction (DPI) regarding special education services and attend monthly DPI EC meetings;
- Act as the point of contact for parents regarding special education services;
- Assist families in finding community resources and supports;
- Review data regularly to guide and support program implementation;
- Support general education teachers in implementing accommodations and provide various trainings and other supports for staff as needed;
- Ensure that all EC referrals and requests for evaluation are addressed in a timely manner.
- 504 Plans
- Develop and implement clear systems, workflows, and policies for Labs 504 program;
- Create and maintain a master database of students with 504s;
- Oversee appropriate personnel in the development and implementation of 504 plans;
- Support general education teachers in implementing accommodations through training, coaching, and feedback;
- Act as the point of contact for parents regarding 504 plans and information.
- MTSS Process
- Develop and implement clear systems, workflows, and policies for Labs intervention model;
- Create and maintain a master database of students participating in intervention services;
- Determine appropriate data to collect for screening, progress monitoring, and assessment of students in various tiers of support and maintain the tracking system for all students;
- Support Interventionist team:
- Manage the intervention team to schedule their time and priorities;
- Lead regular meetings with intervention team to assess progress and modify plans, instruction, and tier placement;
- Support interventionists with planning, assessment, reporting, and intervention strategies;
- Guide the team in the analysis of intervention data and how it should be used to inform placement and strategies;
- Provide coaching and evaluation, leveraging growth plans as needed;
- Deliver or identify professional development for general staff and interventionists;
- Manage the intervention process for students who have been referred for EC eligibility and services and ensure that Lab is in compliance with all requirements and timelines.
- Manage Related Service providers:
- Develop and maintain relationships with external service providers;
- Schedule services as needed;
- Negotiate pricing contracts for service within our school buildings.
Charlotte Lab SchoolStudent Services Coordinator will also have responsibilities in support of Labs vision for leadership:
- State and Federal Regulations
- Maintain confidential IEP and 504 files for all students on campus;
- Ensure that Charlotte Lab School is compliant with state and federal regulations;
- File reports with the state throughout the year as mandated;
- Compile any necessary information for audits and other monitoring activities;
- Serve as liaison between the school and state for special education.
- Grants
- Seek and apply for grants that are applicable to special education;
- Maintain paperwork and other accountability for grants as mandated;
- Manage the timely completion of federal funding paperwork for IDEA grants.
- Leadership
- Collaborate with division heads and grade level leadership teams to support staff and students;
- Collaborate closely with members of the wellness team to ensure that the EC team is aware of disciplinary incidents and that the rights of students with disabilities are being upheld through disciplinary processes;
- Assist with providing coverage and other day to day necessities on campus;
- Assist with recruitment, hiring, onboarding, and disciplinary/performance matters for all positions related to student services;
- Any other duties as assigned by the Executive Director.
General responsibilities of all Lab faculty and staff members:
- Attend and participate in team meetings and communicate regularly through systems designed for your team;
- Participate actively in Labs community activities, in support of Labs instructional, community-building, fundraising, and family recruitment efforts;
- Participate actively in ongoing professional development;
- Assist in the maintenance of a clean, orderly, and safe school environment;
- Take on other responsibilities as needed, and as assigned, to ensure student and organizational success.
Qualifications
Candidate MUST:
- Be able/willing to learn how to fulfill the responsibilities listed above;
- Hold a Master's degree in education;
- Demonstrate experience in, or passion for, working with diverse populations;
- Have at least 5 years of leadership experience, working with a variety of age groups and in different K-12 EC settings;
- Be fully licensed or willing to obtain North Carolina K-12 exceptional childrens teacher licensure;
- Have a least 3 years of full-time EC teaching experience, specifically teaching students and/or managing teachers in self contained, resource, inclusion, and/or Occupational Course of Study classrooms;
- Demonstrate experience writing IEPs in compliance with state and federal guidelines;
- Have comfort with technology and experience with Google Suite and ECATS;
- Are exceptionally organized and have the ability to prioritize effectively and meet competing deadlines.

Compensation and Benefits
Charlotte Lab School offers competitive compensation commensurate with experience and education level using our
compensation rubric. All salaries are determined pending verification of experience by our Finance/HR divisions and Board of Directors budget approval. This role falls under pay grade 6.
The position also includes: medical insurance for the employee, with voluntary dental, vision, and spouse/family coverage, Flexible Spending Account, and a 403b retirement plan. Lab provides employees with 12 PTO days each year. Full time Charlotte Lab School faculty members also receive priority in the student admissions process.
