Shrub Oak International School (www.shruboak.org) is a therapeutic day and residential school for autistic children,
adolescents, and young adults with complex co-occurring conditions. Located in northern Westchester County, Shrub Oak offers unparalleled educational opportunities for autistic students in a family-centric, supportive environment. We offer a variety of programs to meet the needs of students across the spectrum, and our curriculum is based on the most advanced and successful evidence-based clinical and academic approaches in ASD education.
Job Summary:This position is responsible for providing full service administrative support to the Admissions team to support Shrub Oak International School’s ongoing and exponential growth. They must be able to work with all levels of staff within the school as well as our external vendors, constituents, prospects, and parents – both domestically and internationally. Obtaining knowledge about our vision, mission, they will become an SOIS ambassador, who will knowledgeably champion our work to our external constituents to market and represent SOIS within the global marketplace. Having access to confidential information, discretion and independent judgment is required.

Essential Functions – Primary duties of the position

  • Provide executive level administrative support to the Admissions department, including but not limited to the evaluation, review, enrollment and move-in of students, effectively and efficiently with a high level of customer service to the student, families and all Shrub Oak Depts.
  • Coordination of the overall Admissions process and logistics to welcome new admissions, including but not limited to, interdepartmental coordination to ensure arrival dates are aligned and on all calendars, sending welcome materials and packages (including Shrub Oak merchandise) to families and students
  • Maintain a professional presence when engaging in meetings, phone calls and emails, all to demonstrate a fluid working knowledge of our programs. The goal of this outreach is to create/maintain relationships with referral sources, schedule a campus tour, and increase our referral/enrollment pipeline.
  • Assist with scheduling and details of interviews, facility tours, calls and meetings as needed to support our branding, client service and enrollment efforts. Owning the coordinator and scheduling of parent introductory calls, as well as Welcome Calls.
  • Assists with on campus tours; professional and family. A willingness to learn how to lead tours is preferred.
  • Proactively identify areas to enhance the logistical effectiveness of the Admissions department, including data collection and tracking.
  • Coordinates the new student move-in process.
  • Answer incoming program and admissions process inquiries (calls, emails, voicemails)
  • Ownership of tracking and coordinating the receipt of all documents, ensuring they are filed in all relevant systems, and files are complete or working with the relevant staff to ensure they are received and complete.
  • Pull weekly updates from Admissions’ boards for management meetings and planning purposes
  • Other tasks and projects as relevant to this position and needed by the school.


Education, Competencies

  • AA, BS or BA degree in Psychology, Communications, Public Relations or similar is required. LCSW or LMSW is preferred.
  • 2 years of administrative experience in a fast-paced environment handling sensitive and confidential records is required. Clinical and/or Education or Special Education experience in Admissions is preferred.
  • Ability to demonstrate a professional, executive presence and appearance to represent the school in all required methods of communications is required.
  • Outstanding communication skills (i.e., speaking, active listening and writing) to engage and develop relationships with a wide variety of individuals, staff, and external constituencies are required.
  • Ability to remain authentic and passionate when representing SOIS’ programs, uniqueness, and differentiators are required.
  • Ability to remain organized, multi-task, with handle matters with sound judgment.
  • Demonstrate the ability to set priorities, meet deadlines, remain organized while paying close attention to detail are required.
  • Knowledge of research techniques, with an ability to think critically, analyze data and information, all to investigate and source recommendations are required.
  • Experience with marketing and CRM software is preferred. In depth experience with the Microsoft suite of products (i.e. Word, Excel, PowerPoint) is required.
  • Life-long learner who seeks to enhance their knowledge of our business, and their skills is preferred.
  • A team player, who can work collaboratively with all levels of staff and our constituents
  • Seek supervisor support, guidance, and clarification as needed and required.

  • Salary: 65K

Physical Requirements/Demands:A workday regularly includes multiple or conflicting demands, deadlines and time pressures; work regularly requires sustained concentration. Standing for sustained periods of time, bending, stretching, walking up and down stairs (building has 6 floors), around a hilly campus as needed, may also require walking between floors or between buildings at a moment’s notice. May need to lift/move boxes up to 25 pounds and move/rearrange furniture.

Work Environment:We are a boarding school located on a 127-acre campus. The work environment will include both indoor and outdoor spaces, mostly inside the classroom or educational environment. May include work within the residential setting. The building has 6 floors accessible by staircases and elevators.
