The Assistant Director of Admissions and Records assists the Director in planning, organizing, managing, and providing administrative oversight for the department's daily operations. This role is crucial in maintaining the integrity of student data, ensuring compliance with institutional, state, and federal regulations, and providing exceptional customer service to students, faculty, and staff. The Assistant Director supervises staff and plays a key role in the development and implementation of policies, procedures, and technologies to enhance departmental efficiency and effectiveness.
REQUIRED QUALIFICATIONS:
- Bachelor’s Degree in business, education, or a related field required
- Minimum of 2-3 years of experience in a college or university setting, with a focus on admissions, records, or a related student services area
- Demonstrated success working with a team
- Ability to communicate effectively both written and orally
PREFERRED QUALIFICATION:
- Master’s Degree
- Supervisory experience
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Assists in the management of day-to-day operations of the Admissions and Records office, including admissions, registration, student records, transcript processing, and graduation.
- Supervises, trains, and evaluates classified staff, student workers, and/or other assigned personnel within the department.
- Organizes and supervises workload distribution during peak periods, such as registration and graduation.
- Acts as a primary point of contact for students, faculty, and staff, resolving escalated issues and grievances.
- Assists the Director in developing, implementing, and interpreting departmental policies and procedures.
- Ensures compliance with all relevant federal, state, and local regulations, including FERPA (Family Educational Rights and Privacy Act) and other external standards set by accrediting agencies.
- Oversees the review and processing of various student petitions and requests, such as academic renewal and residency reclassification.
- Works to maintain the accuracy and integrity of the student information system from the admissions stage to permanent records.
- Manages and corrects data for census reporting and other critical data submissions.
- Collaborates with other departments to ensure data consistency and accuracy across the institution.
- Coordinates the application processing and admission evaluation process, including for international students.
- Manages and oversees the evaluation and articulation of transfer credit.
- Assists in the coordination of graduation processing, including degree audits, degree awarding and graduation ceremonies.
- Oversees the processing of grade changes, enrollment verifications, and transcript requests.
- Process complete withdrawals, grade changes, and no shows.
- Coordinate and process edits for Online Bulletin.
- Organize each semester’s pre-audit of student records.
- Assist in the monitoring of attendance and grade submission of instructors.
- Assist in the oversight of Absence and Grade Appeals.
- All other duties assigned by the District Director of Admissions and Records.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
- Extensive knowledge of admissions, registration, and student records policies and procedures.
- Knowledge of relevant federal and state regulations, especially FERPA and international student regulations.
- Strong leadership, management, and team-building skills.
- Excellent communication skills, both written and verbal, with the ability to communicate effectively with a diverse range of constituents.
- Strong analytical, problem-solving, and critical thinking skills.
- Proficiency with Microsoft Office Suite and experience with database management systems.
- Ability to work independently, prioritize tasks, and manage multiple projects simultaneously.
