Job Description

Job DescriptionLHH is seeking an experience Corporate and Real Estate Legal Assistant for one of their clients in the Naples, Florida area. In this role, you will provide vital support to our attorneys, managing a wide array of administrative and legal tasks to ensure the smooth operation of our legal department. If you have exceptional communication skills, a keen understanding of legal procedures, and a passion for excellence, we want to hear from you!

Responsibilities:

  • Manage calendars for assignments, schedule meetings and appointments; arrange conference rooms; escort clients and visitors from the reception area to the appropriate conference room; and make travel arrangements as needed

  • Open and distribute mail to assignments

  • Create and edit correspondence, memoranda, pleadings, etc. and transcribe dictation

  • Handle copying, faxing, and scanning documents in the appropriate format

  • Prepare documents for mailing or delivery (e.g., U.S. mail, overnight delivery, UPS, courier)

  • Familiarize yourself with filing procedures (e.g., electronic filing) and the necessary documentation for various courts and entities

  • Process paperwork to open new client files; create files in the Firm’s record management system; maintain current files and organize them before processing for off-site storage

  • Create transmittal letters for monthly billing

  • Prepare expense reports for assignments

  • Maintain current address and telephone listings of clients for each assignment, ensuring they are properly entered into the Firm’s client relationship management system. You may also prepare mailing lists or labels for Firm-sponsored seminars or events

  • Keep a current log of client or matter numbers for each assignment

  • Take advantage of all training opportunities to stay updated with the Firm’s software and procedures to maintain a high standard of efficiency

  • Provide assistance to other legal administrative assistants as time permits

  • Perform other assigned duties, maintaining a team effort to offer the best possible assistance to assignments and clients

Requirements:

  • High school level education or equivalent office work experience

  • Minimum of three years prior legal secretarial experience

  • Proficient with Microsoft Office suite

  • Attention to detail

  • Excellent organizational skills

  • Demonstrated interpersonal skills; ability to communicate clearly and accurately; professional appearance and demeanor



Pay Details: $70,000.00 to $80,000.00 per year
