Position Summary
We are seeking a Project Coordinator who will play a crucial role in supporting the planning, execution, and completion of construction projects. This position is responsible for coordinating project activities, managing schedules, and ensuring effective communication between project stakeholders. The ideal candidate is highly organized, detail-oriented, and able to manage multiple tasks while ensuring that all aspects of the project stay on track.
Key Responsibilities
- Assist in the development of project plans, schedules, and work timelines in collaboration with the Site / Safety Manager and Project Manager.
- Act as a primary point of contact for project stakeholders, including clients, contractors, and subcontractors. Ensure effective communication and coordination across all project teams.
- Support the project manager in buying out all materials, labor, and subcontracts.
- Maintain project documentation, including contracts, purchase orders, and schedules.
- Prepare and distribute regular project reports to stakeholders.
- Monitor project schedules and track progress against project timelines, identifying potential delays and coordinating adjustments with relevant teams.
- Support the Project Manager in monitoring the project budget, tracking expenses, and identifying cost-saving opportunities.
- Ensure that all project activities comply with safety regulations, quality standards, and industry best practices.
- Identify potential project risks and work with the Project Manager to implement mitigation strategies.
- Coordinate the delivery of materials, equipment, and resources to the project site as needed to meet project timelines.
- Provide project updates to the Owner and Team via project management software, communicating major shutdowns and material deliveries.
- Assist with preparing project compliance records, including permits and inspection reports.
- Work with the Site/Safety Manager to prepare a completion list or Owner’s punch list, ensuring timely completion of all items.
- Travel to building sites as required, with frequent overnight and weekend travel required for project oversight and meetings.
- Identify potential project risks and work with the Project Manager to implement mitigation strategies.
- Coordinate the delivery of materials, equipment, and resources to the project site as needed to meet project timelines.
- Provide project updates to the Owner and Team via project management software, communicating major shutdowns and material deliveries.
- Assist with preparing project compliance records, including permits and inspection reports.

Qualifications
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), or Google Suite.
- Experience using project management software such as RedTeam Flex (Preferred), Procore, MS Project, or similar tools is a plus.
- Ability to problem-solve effectively in a fast-paced environment while maintaining a focus on safety and quality standards.
- OSHA certification (OSHA10, OSHA30) or other relevant safety training is preferred.
- Must be available for communication outside of normal business hours during times of heightened project demands.
- Excellent organizational skills with a keen attention to detail to manage multiple projects simultaneously.
- Strong communication skills to effectively liaise and address concerns between various stakeholders including clients, contractors, and team members.
- Knowledge of construction processes, materials, and safety regulations.
- Ability to work collaboratively in a fast-paced environment.
Requirements:
- High school diploma or equivalent (Bachelor’s degree in Construction Management, Engineering, or related field preferred).
- No prior experience required; internships or relevant coursework in construction/project management is a plus.
