Objective of the Position:


Essential Functions:

  • Administrative Support:
  • Documentation: Creating, organizing, and maintaining project documentation, including plans, reports, and meeting minutes.
  • Scheduling: Managing schedules, assigning tasks, and tracking progress to ensure projects stay on time.
  • Budget Management: Assisting with budget tracking, forecasting, and reporting.
  • Meeting Management: Scheduling, coordinating, and documenting project meetings.
  • Communication: Facilitating communication among team members, stakeholders, and project managers.
  • Project Support:
  • Risk Analysis: Identifying and assessing potential project risks and issues.
  • Quality Control: Ensuring projects adhere to quality standards and requirements.
  • Resource Management: Supporting the allocation and management of project resources.
  • Task Tracking: Monitoring task completion and progress, and escalating issues as needed.
  • Reporting:
  • Progress Reporting: Preparing regular project status reports for project managers and stakeholders, specifically Gant Charts, Burn-Down/Burn-Up.
  • Performance Metrics: Tracking and analyzing project performance metrics.
  • Cross-Functional Collaboration:
  • Working with various teams where projects of a technical nature are in play
  • Communicating cross-team dependencies, risks, timelines, etc.

Competency and Position Requirements:

  • Technical Skills:
  • Proficiency in relevant software and systems, i.e. Zoho Project, Microsoft Office, Visio, Smartsheet
  • Data management and analysis skills.
  • Understanding of project life cycles and risk mitigation
  • Soft Skills:
  • Strong organizational and time management skills
  • Excellent communication and interpersonal skills
  • Problem-solving and analytical skills
  • Ability to work independently and as part of a team

Education and Experience Requirements:

  • Preferred, 2-5 years’ experience within the corporate travel industry preferred
  • Preferred, 2-5 years’ experience in project administration
  • College degree or commiserate work experience

Working Conditions; Schedule:

  • 40-hour regular business hour
  • Eastern time-zone
  • Occasional travel to local office or vendor offices within reason and with ample notice
