Now Hiring: Legal Secretary / Receptionist

Schedule: Full Time, In Office

Location: 1625 Bethel Road, Columbus, OH, 43220

Job Summary:

The Legal Secretary / Receptionist is a key front-line and administrative support professional who creates, maintains, and cultivates relationships with clients, courts, and vendors. As Legal Secretary / Receptionist, you will handle a broad range of administrative and clerical responsibilities including front desk operations, legal case management, correspondence, and calendaring. The role demands high-level customer service, discretion, and attention to detail in a fast-paced legal environment.

Duties & Responsibilities:

Reception & Office Operations:

  • Open the building each morning and serve as the first point of contact for clients and visitors.
  • Primarily handle incoming phone calls, emails, and walk-ins with professionalism and efficiency.
  • Open, record, notify, and file all incoming correspondence (mail, phone, email).
  • Coordinate and process outgoing correspondence.
  • Interact with building tenants and liaise with the Property Manager for facility needs.
  • Notify Office Manager or property management of any necessary repairs.
  • Maintain and order office supplies as needed.
  • Maintain and update Standard Operating Procedures (SOPs).
  • Promote a calm, welcoming, and professional atmosphere reflective of firm values.
  • Performs other related duties as assigned.

Legal Support & Case Management:

  • Open and close legal cases and maintain corresponding SOPs.
  • Maintain accurate physical and digital case files, including storage and retrieval of closed files.
  • Manage and update contact information in the CRM system.
  • Load and maintain accurate case data, documents, and communication records.
  • Communicate with clients, courts, and opposing counsel to gather or relay relevant case information.
  • Assist with calendaring and managing attorney and firm schedules.
  • Attend weekly Matters Meetings with attorneys, providing clerical support, tasking, and note-taking.
  • Ensure timely and appropriate follow-up on all correspondence and filings (within 24 hours by phone, 48 hours in writing).
  • Performs other related duties as assigned.

Required Skills & Abilities:

  • Capability to analyze and apply legal principles to practical client problems.
  • Excellent verbal and written communication skills.
  • Understanding of legal language and principles, research methods, court pleadings and processes, and other related matters.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Ability to function well in a high-paced and at times stressful environment.
  • Ability to maintain confidentiality, and to exercise discretion and good judgment.
  • Proficient with Microsoft Office Suite or related software.

Education & Experience:

  • High School Diploma required; Associate’s Degree preferred.

  • Minimum 4–6 years of experience in a legal support or administrative role.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

Key Performance Indicators for the Position:

  • Completes quarterly checklists and learning objectives.
  • Participates in regular one-on-one development meetings with manager.
  • Maintains an average customer satisfaction rating of 3 or higher.
  • Actively seeks and completes professional development and networking opportunities.
